Media Board Meeting

June 19, 2007

Present:  Susan Sweeney, Vivian Martin, Rebecca Barrieau, Matthew Barnes, Maurice Ledoux, Hilda Sullivan, Tiffany Moffo-Simpson, Conrad Akier, Alexander Estrom, Wayne DeRoy, Amanda James (Media University Assistant),

I.  Welcome

Ms. Barrieau called the meeting to order at 12:14p.m.

 

The minutes from the May 18, 2007 meeting were reviewed.

 

Motion: (Barnes/Estrom) To approve the May 18, 2007 Media Board Minutes.

Ms. Barrieau asked everyone to introduce themselves because there were many new members present at the meeting. 

 

II. Attendance

Attendance was passed around.

 

III. Recording of Media Board Meetings

Ms. Sweeney brought up the idea of tape recording the Media Board minutes starting next semester.  This would be so that the Media Board University Assistant, Ms. James would be able to have more precise account of meeting minutes to report on..  It would be made public at the beginning of each meeting that the meeting would be recorded. Ms. Martin thinks this would be a good idea, especially given the scrutiny media organizations have been under.  The tapes would not be kept beyond meeting minute preparation.

 

IV. Summer Budgets

Ms. Sweeney invited any media organization who will need money over the summer to propose their summer budgets. 

 

 

Motion:  (Barnes/Estrom) To approve estimated enrollment figure of 13,500 students for 07-08 year.

Motion :  (Estrom/Ledoux) To approve Media Board Budget for 07-08 year $135,000.000

                 Standard 5% put aside for emergency                       6,700.00

Mr. Ledoux said that the Helix was requesting $2500.00 for the summer.  This money will be used to hire someone to design their website.  The Helix website will include past Helix’s and information about the literary world.   

 

Motion: (Estrom/Akier) To approve a summer budget of $2500.00 for the Helix’s website design.

Mr. DeRoy said that WFCS is requesting a summer budget of $5700.00.  This money will be used to pay John Ramsey ($2000.00), to purchase a server to help facilitate online broadcasting ($2000.00), and to buy promotional items ($1700.00). 

 

Mr. Hazan suggested that WFCS contact ITS before purchasing the server.  Ms. Sweeney also suggested speaking to the new CIO and getting more information about a server.  Mr. Estrom shared that he has been in touch with the CIO about forming an ITS Student Interest Committee. 

 

Motion: (Ledoux/Estrom) To approve a summer budget of $5700.00 for WFCS.

Mr. Akier shared that The Recorder will need a summer budget to pay the new Advertising Manager and for early registration for conferences they wish to attend next semester.  They will need about $5000.00.

 

Motion: (Moffo-Simpson/Ledoux) To approve a summer budget of $5000.00 for The Recorder.

Ms. Sweeney thanked everyone for being reasonable with their summer budgets.  She suggested that next semester the Media Board come up with a better S.O.P for how money is obtained from the board.

       

V.  Training

Ms. Sweeney brought up the question of what media organizations are doing to train their members.  Ms. Sweeney suggested that the organizations look at their constitutions and manuals and that the Media Board look at the new Recorder constitution.  Ms. Sweeney also announced that August 24th thru the 26th that S.G.A is having a retreat at Camp Jewel.  She suggested that either the Media Board as whole or individual media organizations could use Camp Jewel the same weekend and have team building activities and training.  Ms. Barrieau thought this was a great idea and that it would improve visibility of the Media Board.  Ms. Martin shared that The Recorder is doing training at the beginning of the semester and that maybe the Media Board could bring in a speaker to discuss media related topics.   

 

VI. Sharing

Mr. DeRoy shared that WFCS is purchasing a new board and updating their equipment.  The new board should be up and running by the end of the semester. 

 

Mr. Ledoux shared that the Helix is in the process of recruiting new staff and will be having a release party when school starts.  There will also be poetry contests and reading at the start of the semester.  Their goal is to show students who are interested in joining what being part of the Helix involves. 

 

Mr. Akier shared that The Recorder will be having training sessions in August.  Ms. Martin shared that an article that was in the paper this semester about the Toyota Prius is receiving a lot of online attention and it has been a challenge to deal with that.  They are debating whether or not to take the article off The Recorder website. 

 

Mr. Estrom shared that SGA subscribes to the USA Today Readership Program.  He just recently discovered that USA Today will sponsor campus programming and that they might be able to use that to educate the campus about media. 

 

Ms. Sweeney shared that the Media Board brochure is in the works and that we are hoping to send it out to students in the fall. 

 

Our next meeting will be September 14th at 12p.m.
